Position Summary:

The Event & Conference Services Coordinator plans, coordinates, and executes a wide range of MPC events, functions, meetings and experiences attended by Company executives, leaders, employees, industry peers, customers and community members. The enthusiastic, can-do individual needed for this position is capable of end-to-end management of events and meetings varying size, scale, complexity and visibility. This generally includes, but is not limited to, scheduling; coordinating venue/meeting room set-up; determining catering details; and working with designated company contacts to meet their meeting and event needs. The successful candidate will serve internal clients by helping to support and elevate attendee engagement through the development and execution of compelling and dynamic meeting and event experiences.

This role is part of the Communications & Community Relations organization and reports to the Events & Conference Services Supervisor as part of the Events & Conference Services team. This position belongs to a family of jobs with increasing responsibility, competency, and skill level. Actual position title and pay grade will be based on the selected candidate's experience and qualifications.

Key Responsibilities:

  • Organize meetings, events and activities through personal contact, verbal engagement and written correspondence, with primary responsibility for programs occurring in the San Antonio office conference center. Programs may include, but are not limited to, on- and off-site meetings and events, hybrid meetings, teambuilding activities, tours, luncheons, dinners and receptions.

  • Complete detailed planning and management of meetings and events with internal clients and organizations as necessary. Services may include, but are not limited to, coordination of hotel lodging and event space, transportation arrangements, AV requirements and other services.

  • Work closely with internal organizations including Facilities and Foodservice, Supply Chain, Law, Security and Tax for specific needs of meetings and events and to ensure company, customer and employee requirements are handled properly.

  • Coordinate production of promotional items, supplemental materials and other necessary items for high impact meetings and events, adhering to company and brand standards.

  • Prepare and facilitate both internal and external communications for specific meetings and events.

  • Prepare budgets and tracks costs for meetings, events and activities; conduct cost-benefit analysis of expenditures and cost savings; audit invoices submitted for payment; complete purchase orders and expense reports as needed to facilitate payments.

  • Manage meetings and events through the company's event management system, scheduling tools and work orders portal.

  • Establish and maintain procedures and records for recurring activities and meetings and recommend new approaches and procedures for continuous improvement.

  • Work as a member of the Event & Conference Services team to function effectively with colleagues, supervisors, executives, Board Members and clients. Maintain a high level of confidentiality and integrity and utilize exceptional interpersonal skills in various interactions with these groups.

Education & Experience:

  • High School Diploma required. Bachelor's degree in hospitality management, business, communications, marketing, public relations, or related field highly preferred.

  • Minimum four (4) years of experience in meeting and event planning, hospitality management and/or customer service required.

  • Demonstrated capability of leading meeting and event planning initiatives from beginning to end

Skills and Abilities:

  • Thorough understanding of the event planning and management process, including budget management

  • Ability to plan and manage events ranging in size, scale and complexity

  • Ability to manage meetings and events within an appropriate budget while still delivering an excellent client experience

  • Strong organizational and project management skills with attention to details; ability to manage and execute multiple priorities and events/meetings concurrently and with little oversight

  • Ability to deliver programs with confidence, professionalism and poise, even while under pressure

  • Strong vendor negotiation skills

  • Strong written, oral, interpersonal and presentation skills

  • Demonstrated ability to communicate effectively with all types of employees, from front-line workers to executives

  • Excellent collaboration skills with the ability to build strong relationships with clients, vendors, partners and team members

  • Demonstrated capacity to be highly creative, analytical and data-driven at the same time

  • Ability to thrive in a fast-paced, continuously changing environment with a high-degree of autonomy, accountability and accuracy

  • Proficiency in Microsoft Teams and Microsoft Office products and the ability to leverage technology platforms for event planning

Requirements:

  • Travel up to 30% is required to various field and off-site locations for related assignments.

  • Must be able to lift up to 20 pounds, on occasion, related to meeting and function preparations.
