Description

The Vendor Specialist staff is responsible for verifying, resolving, and entering various documents accurately by the required deadlines. This would include but not limited to participants, participant hired workers, vendors, and clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Process invoices by entering vendor information timely and accurately based on participant's budget and program procedures.

  • Provide courteous and professional service in any inquiries with via email, in person, and by phone to co-workers, managers, vendors, participants, ICA, and state programs within a timely manner.

  • Review, analyze, problem solve, and trouble shoot invoice payments inquires in a timely manner.

  • Report each pay period, monthly, and quarterly numbers to management for program audits. This includes invoice discrepancies and problems and communicating to customers and IC's.

  • Process vendor paperwork in a timely manner.

  • Meet invoice production measurements. This would include manual daily entries for paperwork.

  • Work daily on authorization letters, overpayment letters, and authorization error repots.

  • Process adjustments.

  • Have a good understanding of credentialing requirements to streamline vendor set up.

  • Communicate trends and process improvements to management to help develop efficiencies within areas.

  • Practice and promote safety in the work place.

  • Perform other related duties as assigned.

  • Handle transit ticket process as required.

  • Perform job with a high degree of accuracy.

  • Meet deadlines and prioritize duties effectively in a multi-task environment.

  • Ability and desire to cross-train; learn the work of other departmental staff in an effort to provide an effective back up when needed.

  • Possess the desire to learn and grow with the job, enhancing responsibility and skill set to a higher level.

  • Complete other duties as assigned

Qualifications

Two to four year degree or an equivalent combination of training and experience which will provide the necessary knowledge, skills and abilities. Requires a high level operational, processing experience. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Moderate knowledge of PC software and ability to learn new software. Ability to direct the work of volunteer or temporaries as needed. Ability and desire to cross-train; learn the work of other departmental staff in an effort to provide an effective back up when needed. Maintain a high energy level that is focused on completing departmental and agency goals in a professional and timely manner. Possess the desire to learn and grow with the job, enhancing responsibility and skill to a higher level.
